Yan Chai Hospital reports loss of patient information

    The spokesperson of Yan Chai Hospital (YCH) made the following announcement today (July 8):

    The Medical Records Services Department (MRSD) of YCH found that a batch of 3.5กจ backup floppy disks were missing during the process of encryption and reported it to the hospital management on June 30, 2008.  Those floppy disks are a set of back-up copies storing the processing log sheet on medical report applications dated between January 16, 2005, and January 15, 2006, in which about 3,000 names and ID numbers of the applicants were recorded together with the log sheets of the dates of request, various work processes and date of completion, etc.  All the files stored in the floppy disks do not carry any medical information of the applicants concerned.  In addition, 23 acknowledgement receipts were found missing in the MRSD.  Those receipts recorded the names, ID numbers, addresses and dates of receipt of medical information of the applicants.

    Although a thorough investigation and search were conducted in the last few days, the above mentioned materials cannot be located.  YCH decided to abandon the search and reported the case to the Police and informed the Office of the Privacy Commissioner for Personal Data this morning.  The Hospital Authority has also been notified through the Advanced Incidents Reporting System.  YCH has so far received no enquiries nor any reports related to the leakage of personal data of the applicants.

    YCH will continue to review the working procedures as well as the management and security of all data storage devices.
